Primary Position Responsibilities


  • Answer phones, process mail, manage the office supply inventory, and handle general office tasks to maintain efficiency.

  • Perform errands including daily trips to the post office and retrieving building permits as needed.

  • Welcome visitors, provide information to clients, and serve as a point of contact for inquiries.

  • Book all travel arrangements including hotels and flights.

  • Assist in coordinating, setting up, and running company events.

  • Assist in collecting lien waivers as needed.

  • Prepare and process lien releases.

  • Assist with ensuring compliance with contract terms and insurance/bonding requirements.

  • Assist with submitting required safety certifications, insurance certifications, permits, and licenses.

  • Assist upper management with a variety of projects.

  • Perform other duties as assigned.

Required Qualifications


  • Proficient in Microsoft 365, with advanced Excel skills, Adobe, and ERP systems.

  • Excellent verbal and written communication skills to interact effectively with clients, vendors, and team members.

  • Prior experience screening phone calls for owner/upper management.

  • Strong ability to manage multiple tasks, maintain attention to detail, and stay organized in a fast-paced environment.

  • Excellent customer service and interpersonal skills for building professional relationships.

  • Ability to maintain confidentiality.

  • An understanding of construction terminology, procedures, and compliance requirements.

  • Must have reliable transportation.

  • Must be able to work on-site, five days per week.

Work Environment & Physical Demands


  • Candidates will need to be comfortable interacting and engaging with staff as needed in construction related, job site, warehouse or shop environment. 

  • Most of the work is performed in an office environment.

  • Typically, the employee may sit to perform the duties of the job and will perform repetitive motions with hands/fingers using a computer mouse and keyboard to type. However, there may be walking; standing; bending; stooping and carrying light items up to 20 pounds.


  • Limited climbing, crawling, pulling, and pushing is required (e.g., inventory).

  • Employee will be required to travel by car.
